The short version
Tachlis. is a family organizer. Everything you put in it belongs to your family. We never sell it, never show it to advertisers, and never use it to train AI. Nobody outside your family can see your calendar, your lists, your routines or your photos. A parent can export everything in one click, and you can ask us to delete all of it at any time.
The rest of this page explains what we collect, why, where it lives, who else touches it, and what your rights are. If anything is unclear, write to us and we'll fix the wording.
Who we are
Tachlis. is made by Lerns.Ai (Osek Murshe 328719091), Israel. Lerns.Ai is the controller of the personal information described here. Contact us at tachlis@lerns.ai or on WhatsApp +972-53-579-2238.
1. What we collect
Family account
A username and password for the family, and the email address of at least one parent. We use the email to reset a forgotten password and to send the notices described in section 7. Passwords are never stored as typed. They are hashed (scrypt) and cannot be read back, by us or anyone.
Family members
The names, roles (parent or child) and optional profile photos of the people in your family, as a parent enters them. Parents can set a personal PIN, which is hashed the same way. Children's profiles are created and controlled by a parent. A child cannot create an account.
What you put in
Calendar events, tasks, shopping lists, routines, points and rewards, meal plans and recipes, budget buckets and expenses, allergies and food preferences, notes, and anything you type into the chat. This is your family's data. We store it so the app works for you.
Connected calendars
If you paste a calendar link (ICS) from Google, Outlook or Apple, we store that link and fetch the calendar it points to every 10 minutes and whenever someone in your family opens the app, read-only. The link works like a password: anyone who has it can read that calendar. We keep it private and never share it. You can remove it in Settings at any time, and we stop fetching immediately.
When connecting a Google or Microsoft account becomes available and you use it (see section 4), we store the access tokens those companies give us, and only for reading your calendar.
Photos
Profile photos and the frame-mode photos you upload. They are stored in a folder that belongs to your family only and are served only to signed-in members of your family.
Messaging, only if you connect it
If you link Telegram, we store the chat ID that lets the Tachlis. bot talk to you, and the messages you exchange with it. If you send the bot a photo or a voice note, it is read once to answer you (section 3) and the photo or recording itself is not kept.
Location
Your family's home city, which sets your time zone, Jewish calendar times and weather. If a parent taps "Use my current location", we save the exact spot the device reports instead of the city centre. If someone turns on travel mode and shares where they are, we save that spot until they turn it off. The weather service only ever gets your location rounded to about 1 km (section 10).
Push notifications, only if you turn them on
A browser subscription token so we can send reminders to your device. Turn notifications off in your browser or in Settings and the token is deleted.
Signing up
When you apply to join through our sign-up form, we keep what you tell us there (your name, contact details, family details you choose to share, and how you heard about us) so we can set up your family and talk to you.
Technical records
When the app hits an error, it sends us a short report (which screen, what failed, which browser, and your IP address) so we can fix it. Our web server keeps standard access logs (IP address, time, page requested) for security and debugging, and deletes them after 30 days.
Our public website
Our homepage and the sign-up form at /join use Google Analytics so we can see how many people visit, where they came from (for example, a link someone shared) and whether the form is working. Google Analytics sets cookies in your browser and collects things like the pages you viewed, your device and browser type, and your approximate location. We turned off Google's advertising features, so this is not used to show you ads or to link your visit to your Google account. Google Analytics is never used inside the Tachlis. app itself, so nothing about your family, your calendar or your children ever reaches it. We do not use advertising trackers. You can block these cookies in your browser and the site works the same.
2. Why we use it
- To run the app for your family. That is the whole reason.
- To answer your chat requests, translate between Hebrew and English, suggest meal ideas, read a menu you import, and read a photo or voice note you send the Tachlis. bot (section 3).
- To send a password reset, a reminder you asked for, or a notice about the service.
- To fix bugs and keep the service secure.
- To learn, in aggregate, how families use Tachlis., so we build the right things. Aggregate means counts like "how many families used routines this week," never the content of anyone's routine.
We do not sell personal data. We do not share it with advertisers. We do not use your family's data to train any AI model, ours or anyone else's.
Do you have to give it to us?
No law requires you to give us any of this. It is your choice. Without a family account, a parent's email and the names of your family members, the app cannot work. Everything else (calendars, photos, your exact location, Telegram, notifications, the chat, meal ideas and menu import) is optional, and the rest of the app works without it.
3. The chat assistant, translation, meal ideas and menu import
When you type into the Tachlis. chat, or when the app translates something between Hebrew and English, the text and the family context needed to do it (for example, your calendar for the week you asked about) are sent to Anthropic, the company that makes the Claude AI model. This happens over an encrypted connection under Anthropic's commercial terms, which do not allow them to use your data to train their models. Anthropic keeps these requests only briefly, for safety and abuse monitoring, and then deletes them.
The assistant can create and edit events, lists, tasks, routines, meal plans and budget items because you asked it to. It cannot change who is in your family, grant or spend points, change settings or PINs, or delete anything except events. Those always need a person.
What the assistant remembers
So you don't have to repeat yourself, the assistant keeps two things for your family:
- Recent chat. The last 30 days of messages between each person and the assistant, so it can follow a conversation. Older messages are deleted automatically.
- Facts a parent asked it to remember, like "Noa is allergic to sesame" or "the Levins drive the Thursday carpool". It asks "Want me to remember that?" first, and only a parent can say yes. A parent can mark a fact "parents only", and then it is never used when a child or the shared kitchen screen is talking to the assistant. Facts stay until a parent deletes them.
Both are stored encrypted (AES-256). They are sent to Anthropic only as part of answering a chat, or a meal idea when they are about food, in the same way and under the same terms as the rest of the chat.
A parent can see, edit and delete every saved fact, delete everything at once, and clear the chat history in Settings, under "What Tachlis. remembers". The same page has the switch to turn memory off for the whole family at any time. When it is off, the assistant uses nothing it saved and saves nothing new.
Photos and voice notes in Telegram
- Photos: when you send the Tachlis. bot a photo (a wedding invitation, a school notice), it is sent to Anthropic, in the same way and under the same terms as the chat, to find dates to put on the calendar. The bot shows you what it found and adds nothing until you say yes.
- Voice notes: where voice notes are turned on, the recording is sent to OpenAI to turn it into text, together with your family members' names so they are spelled right. The text is then handled like a typed message. OpenAI's business terms do not allow them to use it to train their models; they keep it for up to 30 days for abuse monitoring and then delete it. Where voice notes are not turned on yet, the bot just says so and nothing is sent.
Meal ideas and menu import
Two meal features use the same AI service, Anthropic, in the same way and under the same terms as the chat.
- Suggest something new (in Meal ideas): we send your family's recent meal history, your family members' dietary notes and allergies, the meal slot (for example Tuesday dinner or Shabbat lunch), the meat, dairy or parve choice, and whether the day is Shabbat or a chag. Ideas drawn only from your own past meals are worked out on our server and are not sent anywhere.
- Import menu: we send the photo, PDF or text of the gan or school menu you chose, so it can be read into a week of lunches. A photo is shrunk on your device first, sent once, and not stored by Tachlis. after it has been read.
- Recipe from a link: our server opens the public recipe page you pasted and reads its recipe data itself. Only when a page has no recipe data, and only if the meal AI setting below is on, its text is sent to Anthropic to find the recipe. An imported recipe is a private copy for your family, with a link back to the page it came from.
Nothing from either feature is saved to your family's meal plan until a parent adds a suggestion or reviews the menu and presses save.
A parent can turn both features off for the whole family in Settings, under Account and security, Privacy ("Use AI for meal ideas and menu import"). When it is off, nothing is sent to Anthropic for meals. Ideas from your own history still work, and a pasted menu is still read by our own server, line by line, without AI.
Jewish calendar information (Hebrew dates, candle-lighting, parsha, fast times) is computed on our own server from your family's location (or a traveller's, in travel mode). Nothing about your family is sent anywhere to compute it.
4. Connecting Google or Microsoft (coming soon)
Soon you'll be able to connect your Google or Microsoft account so your calendar comes in without copying a link. When you do:
- We ask only for permission to read your calendar. We do not ask for your email, files or contacts, and we cannot change or delete anything in your calendar.
- We use your calendar events only to show them inside your family's Tachlis. calendar and reminders. We do not use them for anything else.
- The tokens Google or Microsoft give us are stored encrypted, in a separate store from the rest of your family's data.
- No person at Tachlis. reads your calendar data, unless you ask us to help with a problem and give us permission, or the law requires it.
- You can disconnect at any time in Settings, or from your Google or Microsoft account's security page. When you disconnect, we delete the tokens and the calendar events we copied from that account.
Tachlis.'s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
5. Where your data lives and how it's protected
Our server is hosted by DigitalOcean in Frankfurt, Germany, inside the European Union. Data travels to and from it over HTTPS only.
- Passwords, PINs and password-reset codes are hashed and cannot be read back. Sign-in sessions are stored only as a one-way fingerprint.
- Your calendar links, the keys from a connected Google or Microsoft account, your recent chat with the assistant and the facts it remembers are encrypted (AES-256) with a key kept separately from the database, so a copy of the database alone can't open them.
- Each family's data is walled off from every other family's, both in the app and on the server.
- Only the two founders can access the server, by key-based login only.
- We take a backup every night. A copy is encrypted (AES-256) before it leaves the server and is kept in our Microsoft 365 storage. Backups roll over after 14 days.
If something ever happens to your data that you need to know about, we will tell you, and report it to the Israeli Privacy Protection Authority where the law requires it.
6. Children
Tachlis. is built for families, and children use it with a parent's permission and under a parent's account. We do not collect anything from a child directly. A parent creates the child's profile, chooses what to enter, and can change or delete it at any time. We show no advertising to anyone, children included. The app itself has no microphone features. Its only camera use is when a parent chooses to photograph a menu to import (section 3).
7. When we'll contact you
- A password reset, when you ask for one.
- Reminders and digests you have turned on.
- A notice if we change this policy in a way that matters, or if something happens to your data that you need to know about.
- For Founding Families, the check-in calls you agreed to when you joined.
No newsletters and no promotions unless you separately opt in.
8. Your rights
Under Israel's Protection of Privacy Law (as amended by Amendment 13) and, where it applies, the EU GDPR, you can:
- See and export everything. A parent can download a full copy of the family's data, and a zip of its photos, any time from Settings.
- Correct anything. Edit it in the app, or ask us.
- Delete everything. Write to us from the parent email on the account. We delete the family account, its data and its photos within 14 days, and the copies in our backups age out within 14 days after that.
- Withdraw a connection. Remove a calendar, disconnect Google or Microsoft, unlink Telegram or turn off notifications, in Settings.
- Complain. To us first, please. If we don't resolve it, you can go to the Israeli Privacy Protection Authority.
If we ever wanted to use your data in a new way that needs your consent, we would ask, not assume.
9. How long we keep it
As long as your family account is active, except your chat with the assistant, which is kept for 30 days (section 3). If an account has not been opened for 24 months, we will email the parent address before deleting it. Deleted data leaves our backups within 14 days.
10. Who else touches your data
We use a small number of service providers. Some are outside Israel and the EU; each gets only what it needs for the job below.
| Who | What they get | Why |
|---|---|---|
| DigitalOcean (Germany, EU) | Hosts the server and your data | Infrastructure |
| Anthropic (USA) | Chat messages, recent chat and remembered facts, text to translate, and the family context needed to answer; meal history, dietary notes and allergies, menu photos/text; photos you send the Telegram bot | The chat assistant and translation; meal ideas and menu import; reading photos into calendar events |
| OpenAI (USA), only where voice notes are turned on | Voice notes you send the Telegram bot, and your family members' names | Turning voice notes into text |
| Microsoft 365 | Password-reset emails we send; our encrypted backups | Email delivery and backups |
| Airtable (USA) | What you enter in the sign-up form | Managing Founding Family sign-ups |
| Google, Microsoft or Apple, if you connect a calendar | We read the calendar you chose | Optional calendar sync |
| Telegram, if you connect it | Messages between you and the Tachlis. bot | Optional channel |
| Open-Meteo (Switzerland) | Your family's location rounded to about 1 km, and your device's IP address, because your browser asks it directly | The weather on your calendar |
| Your browser's push service (Google, Apple or Mozilla) | The notification we send to your device | Optional reminders |
| Google Analytics (Google) | Visits to our homepage and sign-up form: pages viewed, device, browser, approximate location, where you came from. Never anything from inside the app. | Knowing how people find us and whether the sign-up form works |
No one else. No data brokers, no ad networks. We would only disclose data to anyone else if the law required it.
11. Changes to this policy
We'll post the new version here with a new date and, if the change matters, email the parent address before it takes effect.
